What we automate inside HubSpot

HubSpot is the record your commercial team already trusts, so we build on top of it rather than around it. The aim is a rep who never leaves the tool they know.

  • Lead scoring and routing. Every lead is enriched and scored before a rep sees it, raising qualified meetings per rep by 38 percent.
  • A brief before every call. Fifteen minutes ahead of a meeting, the rep gets one page on who this is and what to sell.
  • One record everywhere. Clients, deals and invoices stay identical across every tool that holds them. Nothing is typed twice.

02 Platform

Native workflows or a layer beside HubSpot

HubSpot does a lot on its own once you are on a Professional tier. When a client already pays for that, our first job is to use what they bought.

The limits show up quickly. Anything that has to loop, call an outside service or write into a tool HubSpot does not know needs somewhere else to run, and that is where n8n or Make comes in.

Done properly, nobody sees the seam. Your team works in HubSpot while the awkward parts happen out of sight.

03 Platform

Cleaning up what is already in there

Half the HubSpot projects we take on start with a portal nobody trusts. Duplicate contacts, properties invented for one campaign in 2024, workflows that still fire at nobody.

Automation on top of bad data produces bad data faster, so the properties get rebuilt before anything is switched on. Your reporting is the test: if the dashboard is wrong, the base is wrong.

This part is unglamorous and it decides whether the rest works. We put it in the proposal instead of hiding it in the hours.

04 Platform

When HubSpot automation is not the answer

  • You are on Starter. Native workflows barely exist below Professional, and upgrading for one automation is rarely the cheaper move.
  • The process lives outside sales. Invoicing, delivery and scheduling do not belong in a CRM, whatever the sales engineer tells you.
  • You are buying Enterprise for one feature. Custom objects are lovely. A small database beside HubSpot often costs a fraction of the tier.

We have talked clients out of an upgrade more than once. It is a short conversation and it buys a long relationship.

05 Platform

What it costs and how long it takes

We scope the work first and then give you one fixed price. A portal cleanup with two or three workflows usually takes two to three weeks, and a full commercial system four to five.

The AI and operations audit is the first step. You get a ranked plan in two working days, and the price is on its page.

Your HubSpot subscription stays in your name. We say which tier the work really needs before you renew, which occasionally saves more than our invoice.

06 Platform

Who maintains it after launch

The portal is yours, it always was, and the documentation we leave covers every workflow we touched. Your team is trained before handover.

When you want someone watching the layer beside it, Protect covers monitoring, fixes and upgrades for $350 a month, cancellable any month. It is an option and nothing more.

07 Platform

Your data, and where it lives

HubSpot lets an account be hosted in Europe, and the data in your portal belongs to you in every plan. That answers the first question a European buyer asks.

The layer we build beside it runs where you decide, on your own server or on European infrastructure we set up in your name. We sign a processing agreement before touching a portal, and we do not claim certifications we do not hold.

What people ask before they start.

Do we need HubSpot Professional for this?

Often not. Plenty of what people upgrade for can run in an external layer for less than the tier difference. We compare both numbers in the proposal and let you choose.

Can you connect HubSpot to our accounting tool?

Yes, and it is one of the most common jobs we do. A closed deal creates the invoice, the payment updates the deal, and nobody retypes a client name again.

Will this survive a HubSpot update?

Native workflows do, because HubSpot maintains them. The layer beside it is tested in a sandbox first, which is how we catch a change before it reaches your team.

Do you want to replace our HubSpot?

No. We build inside the tools a client already runs whenever the platform allows it. Changing a CRM is the most expensive advice a consultant can give, so we only give it when the arithmetic is obvious.

Can you work with a portal another agency set up?

Yes. We audit what is live, tell you what we would keep and quote the rest. Protect covers systems we did not build once they pass that review.
