Automation for construction firms that quote from a site visit

Automation for construction firms has to survive a building site, which rules out most software. The work happens on a phone, in a van and in a WhatsApp group, so the systems we build read those instead of asking anyone to move.

Where the week goes in a builder of 10 to 100 people

Automation for construction firms usually starts before the site, at the enquiry. A lead comes in from the web or from a portal on Monday, the person who could answer it is on a roof, and by Wednesday two competitors have already been round to measure.

The quote is the second leak. Measurements come back in a notebook, get typed into a spreadsheet or a price bank, then the document gets rebuilt from a version that belonged to another job.

After that it is the record of what happened. Photos, material notes and hours live in a group chat that nobody can search, so certifying the month means scrolling back through three weeks of messages.

The systems we build for construction firms

Three or four systems cover the distance between an enquiry and a certified month. None of them asks a site manager to learn new software.

  • Enquiry answer and visit booking. Every lead gets a reply within minutes, qualified against the jobs you actually want, with the site visit already in a calendar.
  • Quote from the visit. Structured measurements taken on a phone become a priced, branded document the same day, using your own price bank.
  • Site reports. A photo or a voice note from the site lands in the job record, dated and attached to the right project, ready for the monthly certification.
  • Supplier and safety documents. Certificates get chased before they expire, so an access check never stops a crew at the gate.

These are examples, not a catalog. Two builders never run a job the same way, so two systems never come out the same.

What stays in a person's hands

The price is a decision, not a calculation. A system can assemble the measurements and apply your rates. The margin on a difficult job is still yours to set.

Technical criteria stay where they are. What a wall needs, what the client is really asking for, whether a deadline is honest: none of that belongs in a workflow.

Safety is the clearest line of all. Certificates get tracked automatically, and the decision about who walks onto a site stays with the person responsible for it.

Where a builder starts

It starts with the AI and operations audit. Ninety minutes with a consultant, then a ranked plan two working days later. That fee comes off your first project.

From the first call to the first system in production, four to five weeks is the average. Answering enquiries fast can be live in a week. The plan tells you which case is yours before you commit to anything.

Most builders begin with the enquiry, because a same hour reply wins jobs your quote never gets to see. Quoting comes second. It sits on top of process and SOP design when two estimators price the same work differently. The method is in the process section.

What we would argue against building

A custom platform for your company. It feels like control, behaves like a second business, and every hour spent maintaining it is an hour not spent on site.

Your spreadsheet price bank is usually fine. The problem is almost never the file, it is that three people keep private copies of it, so the fix is a single source rather than new software.

If you want the custom build anyway, we will quote it with our recommendation on record. That is what a consultant is for, and saying it early is cheaper than saying it in month four.

06 Questions

What people ask before they start.

Does this work if we quote in Presto or Excel?

Yes. Your price bank stays where it is, and the system feeds measurements into it instead of replacing the way your estimators already work.

Our site managers will not use an app.

Then they should not have to. Photos, voice notes and WhatsApp messages are already a data source, so the system reads what the site sends today.

Can it handle CAE and access documents?

Yes, for the chasing and the expiry tracking, which is where the time goes. The decision about who enters a site stays with the person responsible for safety.

Do we need to change our management software?

Almost never. A move gets recommended only when the platform blocks automation outright, and the plan then shows what another year of staying costs you.

How long before the first system is live?

Four to five weeks on average from the first call. Answering enquiries fast can go live in a week, and quoting from a site visit takes longer.

Something else? Email team@braveautomations.com and a person answers, usually the same day.

Automation for real estate agencies that live off portal leads

Automation for real estate agencies comes down to one number: how long a portal enquiry waits before somebody answers it. Answering in five minutes instead of thirty makes a lead 21 times more likely to qualify, and the portals send them at ten at night.
